REPORTS TO: General Manager
Job Description:
- To perform secretarial, clerical, and administrative functions.
Main Duties and Responsibilities:
- Receive, direct, relay, and screen phone and email messages.
- Greet all guests and clients, ensuring they are assisted in a timely manner.
- Answer client inquiries or direct them to the appropriate person (via telephone, email, or in person).
- Book and confirm appointments for Sales Representatives.
- Reserve conference and boardrooms for meetings.
- Maintain a welcoming and neat reception area at all times.
- Ensure the front office is organized and presentable with updated promotional materials.
- Ensure business centre and front desk equipment are fully operational.
- Keep all office supplies fully stocked.
- Maintain Function Books with up-to-date holds and bookings.
- Ensure sales folders and associated materials are always stocked and properly prepared.
- Create and print all function and room directional signage.
- Complete reservations and ticket sales for events (e.g., Easter, Mother’s Day Brunch, New Year’s Eve).
- Ensure the front office coffee station is stocked and functional.
- Keep reception staff informed of company practices, events, and updates.
- Perform all other duties as assigned.
Qualifications and Expectations:
- Ontario Secondary School Diploma or equivalent.
- Excellent oral and written English communication skills.
- Strong customer focus with excellent interpersonal skills.
- Ability to multitask effectively.
- Exceptional organizational skills.
- Ability to problem-solve and handle stressful situations.
- Creative and trend-aware mindset.
- Proficiency in computer applications, including Microsoft Office, Excel, and Word.
- Availability for event-based scheduling, including evenings, weekends, and early openings, with a two-week schedule planned with the General Manager or Assistant GM.
