Overall Objectives:
- The Event Logistics Manager is responsible for all final detailing to ensure the event is executed properly as per the clients’ requests.
Responsibilities:
- Ensure that the client’s vision is executed properly in accordance with venue rules and high logistics standards.
- Upsell products for higher revenue (stations, bars, chairs, ice sculptures, etc.).
- Take direct and final responsibility for all event operational details for the sales managers team.
- Handle general administrative duties including file processing, billing, and updating files up until the event day.
- Collect final payments.
- Close and archive all files.
- Conduct business with clients in person and over the phone.
- Create reports and agendas for staffing and ordering to ensure the event is executed to its full potential.
- Attend the day of the function as the liaison between the client and operations.
- Set up client items such as bonbonniere, favors, menus, seating cards, and other materials.
- Update all departments involved with events regarding last-minute or final changes.
- Design and produce room setup diagrams in coordination with audio visual teams and/or external vendors.
- Attend weekly function meetings and pre-con meetings before all events.
- Build relationships with clients and vendors to ensure repeat business and customer satisfaction.
- Ensure all vendors sign in and out, understand liability for damages, and follow delivery policies without exception.
- Coordinate rehearsals with clients.
- Coordinate special venue events such as Easter, Mother’s Day, and New Year’s Eve.
Extra Tasks as Needed:
- Answer phones and book appointments.
- Show the venue to existing and potential clients.
